How to write yours

Count what you handle

Enquiries a day, invoices a month and the number of people you support show the size of your job at a glance.

Name the software

Adverts list the systems they use. Put Excel, Outlook, your finance or booking system and what you do in them where a recruiter will see them.

Show one improvement

An order sheet you rebuilt or a filing system you sorted out shows you think about how the office works, not just what lands on your desk.

Expect a task at interview

The National Careers Service says time management may be tested at interview, for example with a set of tasks to prioritise. Bring a real example of a busy day to talk through.

Checks and qualifications to mention

  • GCSEs. Employers may look for GCSEs at grades 9 to 4 (A* to C), or equivalent, including English and maths (National Careers Service). Write the grades or the equivalent.
  • Apprenticeships. A Business Administration apprenticeship at Level 2 or 3 goes in with its year; it often matters more than school subjects once you have it.
  • Typing speed. Give a words-a-minute figure only if you have measured it, and be ready to be tested.

Keep it to one page unless you have several office jobs. Recruiters for admin roles skim for software, volumes and accuracy, so keep those in the first half.
